debtor risk monitoring

Debtor risk monitoring: see the signal before the invoice is overdue

If you sell on credit, the customer is a risk that changes over time. KVKBase follows the public data of your debtors and reports changes that often come before a payment problem.

Signals that mean something

A change in the business register is not proof that a customer will not pay. It is a reason to take a look. Combine it with your own payment history and you get a useful early warning.

  • Suspension of payments or bankruptcy, when the source reports it: stop delivering without prepayment, file your claim
  • Deregistration or dissolution: the legal entity no longer exists, outstanding invoices have no debtor
  • New address or name: legally the same party, but check that invoices still arrive
  • Different legal form or new director (only when the source provides directors): who is your counterpart now

How it fits into your work

When you open a customer on credit, add the KvK number to the list, with your own debtor number as the label. An alert lands with credit control, or arrives as a webhook and becomes a ticket in your system. You see the old and the new value and decide what to do: lower a limit, get in touch, hold an order.

It complements, and does not replace, credit insurance or a credit report. We give no score and no opinion on payment behaviour.

What we do not do

We follow public register data. Payment arrears, annual accounts and credit scores are not part of it. A bankruptcy shows up only when the source reports it, and that sometimes lags behind reality. You are watching part of the risk, not all of it.

What we watch

Each watched company is compared with its previous state once a day. These are the fields that can trigger an alert:

Name
Statutory name and trade name
Address
Street, postcode and city
Legal form
For example from sole proprietorship to BV
Status
Active or dissolved
Insolvency
Bankruptcy or suspension of payments, as the source reports it
SBI codes
The registered activities
Directors
Only when the source provides them for that company
VAT number
Valid or invalid at VIES, when a VAT number is known

How alerts reach you

Email
One email per change, straight away. Or switch to a daily digest, grouped per company.
Signed webhook
Each change as JSON over HTTPS, with a timestamp and an HMAC-SHA256 signature you can verify.
API
Read your watchlist and the alert history with your API key, and export it as CSV from the dashboard.

Checks run daily, not in real time. The first check of a company is a baseline and sends no alert.

Who it is for

  • Credit controllers and finance managers at companies that sell on credit
  • Wholesalers, installers and service providers with many recurring customers
  • Bookkeepers and collection partners who maintain a client portfolio

Frequently asked

Does KVKBase tell me when a customer is behind on payments?
No. We follow public data from the business register and the insolvency data of the source, not payment behaviour. An alert about bankruptcy or suspension of payments is a strong signal, though.
How quickly do I see a bankruptcy?
We check every day. Once the source lists the bankruptcy or suspension, you see it at the next check at the latest. The source itself can lag, so this is not a real time guarantee.
Can I add my whole debtor list at once?
Yes, in bulk with a list or CSV of KvK numbers, up to the number of slots in your plan. If you need more, look at Business or get in touch.
Is this a credit check?
No. It signals public changes. For a credit assessment you need a credit information bureau or insurer.
